What to include
- Your full name and job title.
- Company name.
- One phone number and your email address.
- Your website, and one social link such as LinkedIn.
Keep it short: four or five lines is plenty. Avoid large images, quotes and long legal text, which can trigger spam filters and look cluttered on phones.
How to add it to your email
| App | Where to paste |
|---|---|
| Gmail (web) | Settings (gear) → See all settings → General → Signature |
| Outlook (web and new Outlook) | Settings → Mail → Compose and reply → Email signature |
| Apple Mail (Mac) | Mail → Settings → Signatures |
| iPhone Mail | Settings → Apps → Mail → Signature (formatting may be simplified) |
Tips
- Use “Copy signature” to keep the formatting when you paste.
- Send yourself a test email and check it on your phone.
- Use the same colour as your logo for a consistent brand.
Frequently asked questions
How do I add an HTML signature to Gmail?
Copy the signature, open Gmail settings, go to General → Signature, create a new signature and paste.
Why does my signature lose its formatting?
Some apps strip formatting when you paste plain text. Use ‘Copy signature’ rather than copying the HTML code.
Should I add a logo?
You can, but images often appear as attachments or are blocked. A text-only signature always displays correctly.
Is this free?
Yes. Nothing is stored; the signature is created in your browser.
